Head of Event Operations - Maternity Cover

Responsible for the overall operational strategy for the everywoman events portfolio. This includes the development and management of new and existing programmes including Awards, Academies, Forums everywomanClub/ everywomanNetwork evening networking events as well as adhoc programmes and leadership training programmes.

Key Responsibilities

  • Creation and development of the event calendar and respective event project plans to ensure each event deliverable is time-lined and deadlines are met accordingly
  • Manage and lead monthly event strategy meetings with company Founders and Directors
  • Creation and management of overall events budget and events inventory. Work with Finance Director to reconcile accounts
  • Overseeing operational procedures and timelines for all events and programmes. Effectively communicating procedures to all everywoman staff, and ensuring that procedures are adhered to
  • Line management of 2 x Event Managers, including overseeing and supporting on all events and programmes where needed. This may include event administration tasks, proof reading, stakeholder liaison. Assist with their personal and professional development. Appoint and manage any freelance support as required
  • Sole responsibility for the end to end logistics of at least 1 Awards programme and 1 conference plus other ad hoc events, including but not limited to;
    • creation of programme plan/event brief
    • end-to-end management of Judging Days/receptions
    • develop the programme agenda, including speaker/judge acquisition
    • script writing for all events
    • liaison with all judges, finalists, speakers, sponsors
    • create briefing documents
    • create all event collateral and branding
    • sourcing, negotiating & contracting suppliers
    • managing live-streamed events
  • In line with brand guidelines, responsible for overseeing the creation of all programme materials including, but not limited to, briefing documents, invitations, judging packs, Awards and Academy brochures, training handbooks, onsite signage
  • Liaising with the web and marketing team make sure all programmes are prominently featured and up to date on the website and promoted correctly in the company’s e-marketing, comms materials and social media
  • Client Management – nurturing effective relationships with key clients:
    • attend client meetings/chair conference calls
    • ensure sponsor deliverables are being effectively met
    • work with clients on building events/agendas
  • Onsite Event Management - responsible for overseeing the running the event on the day with key responsibilities involving production/AV/filming/rehearsals /sponsor/speaker management/onsite team management
  • Responsible for sourcing and negotiating costs with external suppliers to ensure lowest cost and highest quality of service
  • Responsible for managing the PR supplier contract and ensuring that PR processes and deadlines are adhered to
  • Responsible for the creation of all event contracts for the sales team
  • Conduct in-depth debrief meetings and create evaluation reports for key clients/stakeholders.
  • Additional support - support the Directors with any relevant activity

Experience

  • Minimum 5 years commercial events experience
  • Minimum 3 yrs line management experience
  • Budget Management experience
  • Experience with Awards, Conference and Training programmes

  • Excellent written and verbal communication skills
  • Adept at building & nurturing relationships with key clients, VIPs & stakeholders
  • Strong negotiation & troubleshooting skills
  • Experience of Adobe InDesign/Photoshop is desirable
  • Experience of Eventsforce is desirable
  • Advanced proof-reading skills
  • Advanced Word, Excel and PowerPoint
